Salary:  $110,000 – $115,000 per year

Reports to: GDA | TLC President

Job Purpose:  Responsible for all financial applications. Formulate and direct financial policies and strategies to maximize return on financial assets by following and continuing to improve financial policies, procedures, controls and reporting systems.

Essential Functions:

  • Exercise discretion and independent judgements relating to matters of financial significance.
  • Accounts payable: Responsible for maintaining payables module for all invoices including verifying and obtaining approvals, processing payments through a variety of methods, and syncing with general ledger program. Arrange transfers to maintain bank balances. Review and adjust cost allocations. Review bank reconciliations for all bank accounts.—11%
  • Accounts receivable: Responsible for reviewing and recording daily deposits from a variety of sources. Works with database manager to reconcile Salesforce contributions data to general ledger. Handle cash deposits and foreign deposits with bank. – 11%
  • Payroll: Responsible for bi-weekly payroll, maintaining payroll software, and syncing with general ledger. Review year-end payroll and W-2s/W-3s. Maintain salary reports. Maintain files and prepare annual 1099s/1096. – 8%
  • Benefits Administration: Responsible for employee benefits administration, submitting monthly reports, processing liability payments, and set up of new employes for all benefit plans, including health insurance, 401(k), pension fund, and OPEIU dues. Prepares annual audits for benefit plans and prepares annual recalculations of employee medical, dues, and benefits payments.  – 8%
  • Financial Reporting:   Prepares monthly financial reports with budget comparisons and executive analysis. Prepares financial reports for quarterly board of directors’ meetings. Coordinates with finance committee trustees to review and sign off on all invoices. Prepares additional financial reports as needed. Ensures accuracy and timeliness of financial reports and provides insight into the company’s financial performance. – 11%
  • Audit and Compliance: Responsible for adherence to financial regulations and internal controls, minimizing risk, and maintaining financial integrity. Oversees the annual audit. – 10%
  • Budgeting: Prepares annual budget, ensuring resources are allocated efficiently and financial goals are met. Budgets are prepared through collaboration with directors, managers, and executives, establishing schedules and collecting, analyzing and consolidating financial data. Conducts mid-year reviews with directors and managers. – 10%
  • Renewal of Operations Certificates, Licenses.: Process all annual permit and licensing renewals with accompanying reporting. – 7%
  • Insurance Administration:Prepares annual renewal applications and required reporting for all insurance renewals.  – 7%
  • Employee credit cards: Oversees processing and review of monthly credit card submissions from employees. – 5%
  • Grant reporting: Works with GDA | TLC grant writer to prepare special budgets and financial data reports for grant applications. Prepares final financial reporting as required. Maintains restricted funds schedules. – 7%
  • Events: Oversees financial needs and assists at occasional events on weekends or evenings, indoors or outdoors. – 5%Other duties as assigned or required.

Essential Physical Requirements:

  • Ability to sit for long periods at a computer.
  • Visual acuity required to read forms, documentation, and computer screen
  • Must be able to lift up to 40 pounds.

Qualifications:

  • Bachelor’s degree or higher in the field of accounting with minimum of five years’ experience in accounting, budgeting, and financial analysis.
  • 3-5 years’ experience in the non-profit environment.
  • High proficiency with QuickBooks and Excel. Proficiency with Salesforce, AvidXchange or other payables software, and Paylocity or other payroll software.
  • Job duties will require some driving –Valid driver’s license and insurability required.
  • 18+ years of age
  • Works well as part of a team and in a team environment.
  • Strong written and verbal communication skills
  • Must be able to work around an environment with dogs in offices.
